Documents in RM

DM users know that a document profile contains summary information about electronic and paper documents, and that this information forms the basis of any search performed on a document. RM modifies these profiles to add new file-related fields. These new fields allow you to file a document and see other information about the file that holds the document.

Note these document filing rules:

  • A document can only be assigned to one file part at any one time.

  • Documents can be assigned only to open or reopened file parts.

  • Documents are managed by the storage management actions, cutoff/rollover actions, disposal actions, and disposal authorities from their file part. RM also allows you to assign disposal actions for individual documents.

  • Some security-related features of RM documents differ from the standard DM security. Depending on your system configuration, a document’s security may be independent of its file part’s security, or it may inherit security settings when it’s filed.
