Checking Out a Document

To check out a document:

  1. Locate the document you want to check out.

  2. Select Check-Out from the Actions drop-down menu.

    The Check-Out window appears with the Document Name and lists the Version, Last Edit Date, Last Edit Time, Status, and Edited By information.

  3. Select the version you want to check out.

  4. Click the Check-Out And Lock button to make a copy to your local drive and prevent others from opening the document.

    Or, click the Lock button to prevent others from editing it (but not download to your local drive).

  5. If you checked out and locked the document, a native Save As dialog box appears. Click Save.

    A red check mark appears on the document icon to indicate the item is checked out and/or locked.

To check out multiple documents:

  1. Select the check boxes of the documents you want to check out.

  2. Select Check-Out from the Document Actions drop-down menu.

    The Check-Out window opens. It lists the Document Number, Document Name, and Last Edit Date and Time for the selected documents.

  3. Select each document to display its versions, then select the version of each document you want to check out.

  4. Click the Check-Out And Lock button to make copies to your local drive and prevent others from opening the documents.

    Or, click the Lock button to prevent others from editing them (but not download to your local drive).
